Migrationsverket Employer Portal: How to Manage Work Permit Applications Online

A practical guide for HR teams on using the Migrationsverket employer portal — how to register, submit supporting documents, track case status, and set up your organisation as a trusted employer.

Overview of the employer portal

Migrationsverket provides an online portal for employers to manage their role in the work permit process. While employees submit their own permit applications, employers use the portal to:

  • Submit the job offer and supporting documents as part of the employee's application
  • Track the status of pending applications linked to their organisation
  • Register and manage the company's employer account
  • Receive notifications when Migrationsverket needs additional information

Setting up an employer account

Access to the employer portal requires a Swedish organisationsnummer (company registration number) and BankID for the authorised signatory. The process:

  1. Go to migrationsverket.se and navigate to the employer section.
  2. Sign in with BankID under the company's organisationsnummer.
  3. Create the employer profile: company name, contact details, and the name of the authorised HR representative.
  4. Add additional HR users who will manage day-to-day applications. Each user needs their own BankID.

Companies without a Swedish organisationsnummer (foreign employers posting workers to Sweden) use a separate registration pathway through Skatteverket's F-skatt system before accessing Migrationsverket.

Submitting the employer's part of an application

When an employee submits a work permit application, they enter the employer's organisationsnummer. Migrationsverket then sends a notification to the employer's portal account requesting the employer's supporting documents. These typically include:

  • The signed job offer (anställningserbjudande) specifying role, salary, and start date
  • Proof of EU/EEA advertisement (for standard work permits, not required for Blue Card or ICT)
  • A copy of the applicable collective agreement or equivalent salary benchmark
  • Company registration documents if the company is new or has not previously sponsored permits

Documents are uploaded directly through the portal in PDF format. Migrationsverket sets a deadline for the employer's response — typically 2 weeks. Missing this deadline delays the employee's application.

Tracking case status

The employer portal shows a list of all pending applications linked to the company's organisationsnummer, with current status:

  • Väntar på handläggning — waiting to be assigned to a case officer
  • Under handläggning — actively being reviewed
  • Komplettering begärd — additional documents requested (action required)
  • Beslut fattat — decision made (check the employee's application for the outcome)

The portal does not show the outcome of decisions — that is sent directly to the employee. HR should maintain separate communication with the employee to learn the result promptly.

Responding to additional document requests

Migrationsverket frequently requests additional information mid-review. Common requests to employers include:

  • Updated financial statements to verify the company's ability to pay the offered salary
  • Clarification on the SSYK code used in the application
  • Confirmation that the advertised role and the offered role are the same position

Responses must be submitted through the portal, not by email or post. Always upload documents in a single well-labelled PDF. Partial uploads or multiple small files slow down review.

Trusted employer status

Employers with a strong compliance track record — no prior refusals, no outstanding enforcement matters, multiple successful applications — may benefit from faster processing. While Migrationsverket does not publish a formal "trusted employer" tier like some other countries' systems, established sponsors with clean histories are reviewed faster in practice. Maintaining complete, well-documented applications for every case is the most reliable way to build this track record.
